Answers to frequently asked questions about scheduling, joining, and managing one-on-one meetings with your coach.
Student’s attendance policy
Regular attendance is key to success. If you know your child needs to miss a class, please notify us at least 24 hours in advance. This allows us to notify the coach of the student’s absence, demonstrating respect for their time.
Student’s on-time policy
Students are required to show up to their scheduled meetings on time. Coaches will wait online for 10 minutes before logging off. After this point, the session is deemed a “no-show” and is not eligible for make-ups.
Can I get make-up sessions?
Make-up sessions are only available when the Letterly team is notified at least 24 hours in advance of a student’s absence. It will show up on a student’s calendar on portal.letterly.io with the label “Make-up for [Class Date].”
Any student that does not notify the Letterly team with at least 24 hours notice, or simply does not show up to the session, is deemed a “no-show.” There are no make-up sessions for “no-show” incidents.
How do I join a 1:1 meeting with my coach?
The meeting link will appear in the Letterly portal. Simply join when it’s time for your session.
What should I ask during the meeting?
Parents can join the meeting to help the student ask questions and discuss any specific struggles. Common topics include feedback on assignments, areas for improvement, and any challenges the student may be facing.
How do I change the meeting time for 1:1 program?
Reminder: Please carefully consider your decision when scheduling or rescheduling. Only requests made more than 24 hours in advance will be accepted. Requests made less than 24 hours before the meeting will not be accommodated, and the session will not be refunded or rescheduled.
Step 1: Go to Your Meeting Portal: https://portal.letterly.io/
Step 2: Sign in use your initial student email and password to log in.
Tip: If you’ve changed your student assignment portal password, please check the course information sheet you received via email to get your credentials.
Step 3: Click on My Account in the top right to access your account.
Step 4: Click "Session" in the left navigation menu to view all of your upcoming meetings.
Step 5: Find the session you wish to change, and click the on the right to reschedule/cancel.
Step 6: Select a New Time based on your schedule. Your coach will respond within 1 hour.
Step 7:
- If your coach accepts your rescheduled request: You will receive a notification with the updated time. Please make sure to attend the meeting at the new scheduled time.
- If your coach declines your request: You will be notified, and your session will be postponed by one week.
- If your coach suggests a new time: You will receive a notification. Please respond within 12 hours. You can decide to accept or cancel based on your availability. If the time does not work for you, your session will be postponed by one week.
How do I change the meeting time for the Journal program?
If the meeting is already confirmed, you can select “Ask to Reschedule” or “Cancel.” If none of the slots work for you, submit a ticket here with your availability and time zone. If your coach is available at the times you provide, they will send a new meeting invite for confirmation.
What if my coach is late or misses the meeting?
If the student showed up to the meeting on time, please let us know which exact meeting the student has an issue with. Also, please submit a ticket here, explaining the situation. We will investigate and get back to you.
What if my coach cancels my meeting?
Occasionally, coaches may need to cancel due to unforeseen circumstances. If this happens, simply select a new time in the scheduling system for your next meeting.
If a coach ever needs to cancel or reschedule a weekly session, they are required to provide at least 1 week notice to the Letterly team (except for in emergency cases).
How long are the meetings?
- 1:1 Tutoring: 45 minutes weekly for 12 weeks.
- The Journal: 30 minutes weekly.
Who will I be meeting with?
You’ll meet with your assigned coach, who will oversee your assignments and support you throughout the program.
What activities will take place during the meeting?
During the meeting, students will actively participate in worksheets, discussions about the reading, and writing activities. While there may be some independent work, it will be limited to no more than 10 minutes during live sessions to ensure maximum engagement and interaction.
My meetings fall on a US federal holiday. Will the meeting still happen?
If the 1:1 meetings falling on a federal US holiday, that meeting will be skipped (unless the coach and student both agree to meet). Otherwise, the course will resume the following week.
